How to: Setup a Resource Mailbox

Resource mailboxes are converted from standard Full Access mailboxes. A resource mailbox is a billable mailbox and is charged at the same rate as a Full Access mailbox. Setting up a resource mailbox requires three steps: creating the Full Access mailbox, requesting the conversion to a resource mailbox, and setting up user permissions.




Step 1: Creating a Full Access mailbox

The mailbox that will be used for the resource is created in the same way as a normal user with a Full Access mailbox. The following article provides instructions on creating a user with a mailbox:

We recommend that the Principle Name and Display Name correspond to the resource being setup (e.g. ConferenceRoom1). Under the Quick Add Exchange, the Access Level will need to be set to Full Access. No other information is required for a resource mailbox.

Step 3: Assigning permissions to the Resource Mailbox

Once the mailbox has been converted to a resource, the owner may assign permissions to other users with the following steps:


1. In Outlook, click on Calendar in the left-hand Navigation pane.
2. Open the shared calendar:


Outlook 2010: Click on the Open Calendar menu and select "Open Shared Calendar"

3. Enter the name of the resource mailbox or click the Name button to browse for the mailbox.
4. Click OK.
5. Right-click on the resource calendar in the Navigation pane.
6. Click Properties.
7. Click on the Permissions tab.
8. Click the Add button to add permissions for a user.
9. Select the user and click the Add button.
10. With the newly added user highlighted, select the permissions for that user in the "Permissions" section.
11. Repeat steps 8 through 10 for each user that needs to have permissions granted for the resource room. You may also define the permissions for the "Default" user, which will be the default permissions for any user that is not directly added to the permissions panel.
12. Click the OK button when you are finished.


Users may now access the resource mailbox as per the permissions provided to them.
